TERMS AND CONDITIONS FOR EXAM REGISTRATION

By ticking the “I Agree” checkbox, I CONFIRM THAT I HAVE READ AND UNDERSTOOD THE TERMS AND CONDITIONS OUTLINED BELOW AND THAT I AGREE WITH AND ACCEPT ALL OF THE CLAUSES CONTAINED THEREIN. I CERTIFY THAT ALL THE INFORMATION ON THE ENTRY FORM IS TRUE AND CORRECT TO THE BEST OF MY KNOWLEDGE.

  1. PERSONAL DETAILS OF CANDIDATE WRITING EXAMS
    • The personal details provided must match the Candidate’s National ID, Valid Passport, or Birth Certificate.
    • The Candidate will be liable for any charges to correct the statement of entry due to incorrect information provided.
    • The only means of communication with the Candidate will be via email, which the Exam Centre will use to provide information regarding exam dates and venue addresses
    • The Candidate must check their emails frequently.
    • All LIA students must register as full-time students and not as private candidates.
  1. REGISTRATION OF EXAM SUBJECTS
  • Candidates must ensure that the syllabus specifications and exam paper components are correct.
  • To avoid scheduling conflicts and enrolling in prohibited subject combinations under Cambridge regulations, the Candidate must verify that they are registered for the correct subjects and subject combinations.
  • If the identification of a private candidate cannot be authenticated on the day of the examination, Lonehill International Academy Examination Centre (ZA253) reserves the right to prevent the Candidate from taking the examinations.

 

  • Applicable to Retake Examinations Only:
    • Candidates retaking exams must ensure they select the appropriate subject.
    • Candidates must upload their previous statement of entry to qualify for a retake examination.
    • If a Candidate registers for a retake exam without meeting eligibility requirements:
    • Their registration will be invalidated.
    • An administration fee will be imposed.
    • The retake exam registration will be canceled.
  1. PAYMENT AND FEES
  • Registration Fees:
    • Only online payments via PayFast on our website will be accepted for exam registration
    • CAIE exam fees are non-refundable after the final registration payment deadline.
    • The Exam Centre’s decision regarding refunds is final.
    • The set minimum subject fees include: Exam papers from Cambridge Marking, certificates, packaging, courier, invigilation, storage, and fuel levy costs Courier charges are included but may be subject to fuel levy increases.
    • A portion of the exam fees is based on the Rand/Pound exchange rate and is subject to increases if fluctuations exceed 15%.
    • Lonehill International Academy students will not be allowed to register for any CAIE examination(s) if their school fee account is not up to date.
    • Students may be deregistered at any time if their account falls into arrears after registering for CAIE examinations.
    • Any payments made for CAIE examinations may be allocated against outstanding school fees until the examination date.
  1. CANCELLATION
  • Cancellation Requests:
    • Cancellation requests must be submitted in writing at least five (5) weeks before the final date for payment advertised by Lonehill International Academy.
    • An administration fee of 25% will apply for any cancellations approved in accordance with 4.1.1.
    • No refunds up to and including late penalties will be granted if the cancellation notice is not submitted within the 5-week notice period.
    • Extraordinary circumstances may be considered on a case-by-case basis, but the final decision lies with the Exam Centre management.
    • Candidates requesting a refund must submit:
      • A written, signed letter addressed to the Examination Department.
      • Their bank details and proof of bank account if the request is approved.
    • The Exam Centre reserves the right to cancel an examination paper if fewer than three (3) students register for a specific exam. In such cases, candidates will receive a full refund.
  1. CAIE CONCESSIONS
  • Written requests for extra time concessions must be submitted at least 30 days before the first exam.
  • The request must include:
    • A clear statement of the Candidate’s disability.
    • An explanation of how the disability justifies special arrangements.
    • A document in English.
    • Must be within 4 years of the current exam series.
  • An original document signed by a recognized medical practitioner, including their name and relevant qualifications.
  • Cambridge has the final decision on whether to grant the special needs request, and the outcome will be communicated to the applicant.
  • An additional fee will be levied for invigilation with any special concession.
  1. EXAM VENUE DROP-OFF AND PICK-UP RULES
  • GENERAL GUIDELINES
    • All parents, students, and drivers must adhere to the following drop-off and pick-up protocols to ensure a smooth and efficient flow of traffic at the Lonehill Campus during Cambridge examinations.
  • DROP-OFF RULES – LONEHILL CAMPUS
    • Strict Drop-and-Go Policy: Parents are required to drop students off and leave immediately. No waiting is allowed.
    • No Parking in Residential Areas: Do not park in front of neighbours’ gates or houses.
    • Drop-Off Time: Students must be dropped off one hour before the commencement of their examination.
    • No Waiting in Vehicles: Vehicles must depart immediately after dropping off students.
    • Student Drivers: Students using their own transport cannot park in the street. They must make alternative arrangements to be allowed access, i.e. Uber or parent drop-off.
  • PICK-UP RULES – LONEHILL CAMPUS
    • Prompt Pick-Up: Parents must collect students immediately after their exam concludes.
    • No Parking in Residential Areas: No parking in front of neighbours’ gates or houses during pick-up.

If no parking is available, drivers must circle the area and return for collection.

6.3.3 No Waiting on Property: Students may not remain on the premises after their examination unless they have another scheduled exam on the same day.

  • Alternative Waiting Area: Parents may wait at the Lonehill Shopping Centre, Pineslopes Shopping Centre, or Leaping Frog Shopping Centre which are all located 5 minutes from the exam venue.
  • ADDITIONAL REGULATIONS
    • No Leaving Vehicles Unattended: Parents/drivers must remain in their vehicles at all times. Drop-off and pick-up are strictly controlled.
    • Parking Time Limit: If a vehicle remains parked in the drop-off zone for more than 10 minutes, a fine of R500 may be issued to the student’s account. No results will be released until all fines are settled.
    • Noise Restrictions: No loud music or noise disruptions are permitted at the exam venue.

7. STATEMENT OF ENTRY AND IDENTITY DOCUMENTS:

7.1 No candidates will be allowed to enter the exam venue without a valid hardcopy        STATEMENT OF ENTRY and a valid hard copy IDENTIFICATION DOCUMENT/CARD.

NO EXCEPTIONS WILL BE MADE.

  • Private candidates MUST bring a hard copy of their ID or Birth Certificate with a passport-size photo to the exam venue if not submitted before.
  • Candidates can request a duplicate copy of the statement of entry to be printed before an exam at R30.
  • Statements of Entry must be presented as HARD COPIES. No electronic versions will be accepted.

EXAM TIMES AND CAMBRIDGE KEY TIMES

7.5  Key Times are NOT exam start times. Please refer to the attached timetable for

the actual start and finish times.

  • Key times are guidelines indicating that students must be supervised in an exam venue at the respective key times.

AM Session Key Time – 11:00

PM Session Key Time – 15:00

  • No candidate can leave the exam venue before the Cambridge key times and must remain under Full Centre supervision per the exam manager’s or invigilator’s instructions.
  • Candidates must announce their arrival at the exam venue’s main reception at least 60 minutes before the advertised starting time.
  • Cambridge Exam Dates Cannot Be Changed: The exam schedule is set by Cambridge and cannot be altered for any reason.
     

8. EXAM VENUE

8.1 Candidates must ensure they are at the correct venue per the exam timetable.

9. ATTENDANCE AND LATE ARRIVALS

LATE ARRIVALS:

  • According to the Cambridge Handbook, if a candidate arrives late for a scheduled exam, the exam centre has the discretion to decide whether to allow them to take the exam.

9.2 If a Candidate arrives late for an examination, regardless of the reason, and the Exams  Manager permits them to write the exam, a penalty fee of R450 will be charged for every 5 minutes of lateness from the exam’s start time to cover invigilator costs.

  • Due to load shedding, faulty robots, and traffic congestion, students should add additional time to their journey to the examination venue.

 

10. DRESS CODE FOR EXAMINATIONS

  • LIA students must wear full school uniform.

10.2 Private candidates must dress appropriately:

  • No shoestring tops, bare midriffs, offensive logos, and/or slogans on their clothing.
  • Skirts and shorts must be of an appropriate length (a maximum of 7cm above the knee) and no high heels.
  • Undergarments may not be visible.
  • All tattoos must be covered.
     
  1. AS-LEVEL SCIENCE PRACTICAL EXAMINATIONS

DRESS CODE FOR SCIENCE PRACTICALS

  • Mandatory Safety Gear: No candidate will be allowed to partake in any science practical (Chemistry, Physics, and Biology) exam without wearing their own safety glasses and lab coat.
  • Ordering Safety Gear: Lab coats and safety glasses can be ordered and paid for through LIA.
  • Proper Attire: No candidate can attend a science practical exam wearing open sandals/shoes, and the candidate’s legs must be fully covered with a cotton garment.
  • Liability for Damages: Candidates will be liable for the immediate replacement cost of breakages/damages of any apparatus/equipment used in the Lonehill International Academy Laboratory.

 

12. NOTICE TO CANDIDATES – GENERAL EXAMINATION RULES AND REGULATIONS:

12.1 . Stationery Requirements

12.1.1 Candidates must bring their own stationery, including:

  • Blue or black ballpoint pens
  • Pencils and erasers
  • Ruler (30 cm)
  • Calculator (non-programmable, no graphing or data storage functions)
  • Protractor & compass (complete math set)

12.1.2  All stationery must be in a clear zip-lock bag – no pencil cases allowed.

12.1.3 Spare pens and extra calculator batteries are recommended.

12.1.4 Math sets must be in a clear plastic bag. Containers other than clear plastic bags will not be allowed.

12.2 Calculator Rules

12.2.1 Remove calculator covers before entering the exam venue.
1.2.2 All calculators must be cleared of any stored data before the exam.
12.2.3 Calculators must NOT have:

  • Graphing capabilities
  • Programmable functions
  • Information retrieval features

12.3. Water Bottles

12.3.1 Candidates may bring their own clear plastic water bottles.
12.3.2 No glass bottles, colored bottles, or labels are allowed.

12.4. Prohibited Items

12.4.1 Electronic devices (cell phones, smartwatches, etc.) are not allowed in the exam room.
12.4.2 Weapons of any kind are strictly prohibited. Candidates found with a weapon will be immediately disqualified with no exam fee refund.
12.4.3 Smoking, vaping, or possession of banned substances is strictly prohibited in the exam center.

  • Administrative Changes & Fees

12.5.1 Any last-minute changes related to updates to personal details on the statement of entry  will incur an administration fee of R750 per incident.

13. Candidate malpractice

As per the 2025 Cambridge Handbook Clause 5.6 note the following:

Malpractice is any action that breaks our regulations and potentially threatens

the integrity of our exams and certificates. Malpractice can happen before,

during or after timetabled exams or other assessments.

The following are examples of malpractice by candidates. This is not acomplete list:

  • Bringing unauthorised materials into the exam room or accessing unauthorised materials during the exam.
  • Disruptive behaviour in the exam room (including talking or attempting to talk to other candidates and/or using offensive language)
  • Copying from another candidate
  • Collusion
  • Plagiarism: not giving sources and/or submitting another person’s work as if it is their own
  • Looking for, getting, receiving, exchanging or passing on confidential or fake exam material In any way
  • Not following an invigilator’s instructions
  • Not following supervision rules designed to keep the exams secure
  • Stealing another person’s work
  • Deliberately destroying another person’s work
  • Including threatening, offensive or obscene material in scripts or coursework
  • Impersonation: pretending to be someone else, or arranging for another person to take their place in an exam
  • Altering, falsifying or misrepresenting any results information, including certificates
  • Behaving in a way that undermines the integrity of the exam.

 

14. CORRESPONDENCE

14.1   Please be advised that during the exam cycle, the centre will only address queries at the end of the business day due to the priority given to Cambridge exams. Please anticipate delays in email responses. We appreciate your understanding and patience during this period.

By following these rules, we ensure a safe, respectful, and organized environment for all exam candidates. Thank you for your cooperation.

15. DISCLAIMER

  • You agree that your child/ren will attend the advertised Cambridge examinations at Cambridge Exam Center ZA253, under the supervision of the Lonehill International Academy Examinations department.
  • Lonehill International Academy staff members are responsible for caring for Candidates during the examination and full center supervision, when applicable.
  • It is the responsibility of the Parent/Guardian/Candidate to ensure safe arrival to and departure from the examination venue as per the time indicated on the timetable.
  • The Candidate’s personal information will only be used for internal purposes of Lonehill International Academy and registration with Cambridge International.
  • Lonehill International Academy is committed to delivering examination services according to the rules and regulations set by Cambridge International.
  • The Cambridge Exam Centre (ZA253) cannot be held responsible for any interruptions caused by circumstances beyond its control.
  • If examinations or their results are disrupted, canceled, or delayed, every effort will be made to resume regular services as soon as possible.
  • Should your child/ren suffer from an illness during the exam period, Lonehill International Academy will endeavor to contact the next of kin urgently.
  • Lonehill International Academy has contracted with Emer-G-Med to supply free medical emergency assistance on-site.
  • Candidates are advised to bring copies of their medical aid details with them if required at any time.

By proceeding with the exam registration and selecting “I Agree,” the Candidate acknowledges that they have read, understood, and accepted these Terms and Conditions in full.

Terms and Conditions for Private Students Registering for Science Laboratory Practical Sessions

1. Introduction

These Terms and Conditions govern the registration and participation in Science Laboratory Practical Sessions hosted by Lonehill International Academy (Pty) Ltd (“the School”). By registering, the parent(s)/legal guardian(s) (“you”) and the student (“the Student”) agree to the terms outlined below.

2. Student and Parent/Guardian Information

By submitting the registration form, you confirm that all personal details provided are true and accurate. This includes contact information for both the parent/guardian and student, which will be used for all official communication and notices.

3. Payment Terms

3.1.         Full upfront payment is required to confirm registration.

3.2.         Students will not be allowed to attend sessions without prior full payment.

3.3.         Fees are subject-specific and detailed in the School’s Fee Schedule.

3.4.         Laboratory fees exclude Cambridge Examination fees, which are payable separately.

3.5.         No refunds are granted under any circumstances, including non-attendance.

3.6.         All payments must be made via PayFast on the School’s website. No other payment methods will be accepted.

4. Attendance and Conduct

4.1.         Students must attend all sessions. Absences due to illness require a valid medical certificate.

4.2.         Students must comply with the School’s code of conduct and policies.

4.3.         The School reserves the right to deny access for non-compliance.

5. Dress Code and Safety Gear

5.1.         Students must wear the following at all times during sessions:

a)          A cotton laboratory coat (supplied by the student)

b)          Safety glasses (supplied by the student)

c)          Closed shoes with cotton socks

d)          No synthetic fabrics, shorts, or spaghetti straps

5.2.         The School does not provide any safety gear or lab coats.

5.3.         Failure to comply with the dress code will result in denied access without refund, even if payment has been made.

5.4.         Students must dress appropriately: no offensive logos, exposed undergarments, or short/revealing clothing. Tattoos must be covered.

6. Equipment and Property

6.1.         All laboratory equipment remains the property of the School.

6.2.         Lost or damaged equipment must be replaced at the Parent/Guardian’s expense.

6.3.         The School is not liable for any personal items lost, stolen, or damaged on its premises.

7. Indemnity and Liability

7.1.         The School accepts no responsibility for loss or damage to personal items, unless in the direct possession of staff and caused by gross negligence.

7.2.         Parents/Guardians indemnify and hold harmless the School, its employees, directors, and agents against all claims or damages arising from the Student’s participation, unless due to the School’s gross negligence or willful misconduct.

7.3.         Parents/ Guardians remain responsible for the Student’s safety and conduct before and after scheduled sessions.

8. Registration and Termination

8.1.         The School may refuse or terminate a registration for a workshop at its sole discretion.

8.2.         Grounds for termination include:

a)          Breach of this agreement

b)          Misconduct

c)          Non-payment

d)          Violation of policies

8.3.       No refunds will be issued following termination.

9. Required Materials

Parents/Guardians are responsible for acquiring the following (not included in the course fee):

a)          Laboratory coats

b)          Safety glasses

c)          Practical manuals

d)          Prescribed textbooks and study guides

10. Late Collection Fee

Students must be collected within 30 minutes of session end. Late collections will incur a R200.00 supervision fee, invoiced to the account.

11. Communication

All notices and correspondence will be sent to the email addresses provided during registration and are deemed legally delivered once sent.

13. Declaration and Consent

a)          You consent to the processing of personal data for this purpose.

b)          You have read, understood, and accepted all clauses above.

c)         This agreement is binding upon acceptance. Amendments or cancellations must be made in writing and signed by both parties. By ticking “I Agree,” the Parent/Guardian accepts all terms and conditions.
